Château Charles values the protection of your personal data. In this privacy statement, we explain what data we collect, why, and what rights you have, in accordance with the General Data Protection Regulation (GDPR).

1. Data controller

2. What data do we collect

Depending on your interaction with us, we may process the following data:

• Identification data: surname, first name, address, e-mail address, phone number
• Reservation data: stay dates, number of guests, specific requests
• Payment data: data needed to process the payment (we do not ourselves store full card details)
• Identity data upon check-in, where legally required (police register)
• Data you provide to us yourself via the contact form, e-mail or phone
• Technical data when visiting our website (see point 7, Cookies)

4. Retention period

We do not keep your data longer than necessary for the purposes for which it was collected:

• Reservation and customer data: up to 5 years after your last stay, unless a longer period is legally required
• Accounting data: 7 years, in accordance with the statutory retention obligation
• Data collected on the basis of consent (e.g. newsletter): until you unsubscribe

5. Sharing with third parties

We never sell your data to third parties. Your data may, however, be shared with:

• Our accounting firm, in connection with legal accounting obligations
• The payment provider that processes the payment
• Government authorities, where legally required (e.g. police register)

These third parties process your data solely on the instructions of Château Charles and are themselves bound by appropriate confidentiality and security obligations.

6. Transfer outside the EU

In principle, your data is not transferred outside the European Economic Area. Should this nevertheless be the case (e.g. when using a non-European service provider), this will only be done with appropriate safeguards in accordance with the GDPR.

7. Cookies

Our website uses cookies to ensure it functions properly and, where applicable, to analyse its use. More information on this can be found in our Cookie Policy, further on in this document.

8. Your rights

You have the right, at any time, to:

• Request access to the data we hold about you
• Have inaccurate data corrected
• Request deletion of your data (“right to be forgotten”), insofar as no legal retention obligation applies
• Object to certain processing (e.g. direct marketing)
• Receive your data in a structured format (right to data portability)
• Withdraw your consent at any time, where processing is based on consent

You also have the right to lodge a complaint with the Belgian Data Protection Authority (DPA), Drukpersstraat 35, 1000 Brussels – www.dataprotectionauthority.be.

We take appropriate technical and organisational measures to protect your personal data against loss, misuse, unauthorised access or disclosure.
